Authentication and Ownership Transfer Policy

RIMAU 1925 The Founder's Edition · Last Updated: 1 June 2026

1. Introduction

This Authentication and Ownership Transfer Policy governs the serial number verification, Certificate of Authenticity validation, QR code authentication, ownership registration, registered owner email, Collector Access Key use, ownership transfer, and provenance management processes connected to RIMAU 1925 The Founder's Edition.

This Policy should be read together with the Terms and Conditions, Privacy Policy, Pre-Order and Reservation Policy, Refund and Cancellation Policy, and any other applicable policies issued by the RIMAU 1925 team.

By registering an edition, verifying an edition, using the authentication website, submitting ownership details, requesting ownership transfer, accessing protected provenance information, or updating registered owner records, you agree to this Policy.

2. Purpose of Authentication

The authentication system is created to protect the integrity, provenance, and collector value of RIMAU 1925 The Founder's Edition.

It allows owners, collectors, institutions, future custodians, and authorised parties to verify whether a numbered edition is genuine and part of the official RIMAU 1925 publication series.

It also supports selected registered provenance features for privileged editions, where applicable.

3. Serial Number and Certificate of Authenticity

Every copy of RIMAU 1925 The Founder's Edition will carry an individual serial number.

Each edition will also be issued with a matching Certificate of Authenticity.

The serial number and Certificate of Authenticity confirm the edition's place within the official numbered publication series.

The presence of a serial number or certificate alone does not automatically validate an edition unless it corresponds with the official RIMAU 1925 verification record.

4. Official Verification Website

All numbered copies will be supported by basic authenticity verification through the official RIMAU 1925 verification website.

Owners, collectors, institutions, and future custodians may verify an edition through its serial number, certificate details, or dedicated QR code where applicable.

The official verification website is the recognised platform for confirming authenticity, edition category, authentication status, certificate status, and other approved verification details.

5. QR Code Verification

Where applicable, an edition or its Certificate of Authenticity may include a dedicated QR code.

When scanned, the QR code may lead to an official authentication page connected to the relevant edition number.

The QR code is intended to assist verification, but the RIMAU 1925 team may also require serial number entry, certificate details, owner login, Collector Access Key, registered email verification, one-time passcode, or other approved verification methods depending on the edition category and security requirements.

6. Public Authentication Information

The public authentication page may display selected non-confidential details, such as:

  • Edition number
  • Edition category
  • Authentication status
  • Certificate status
  • Public recognition name, where approved
  • State and country, where approved
  • Registration status, where applicable

Sensitive ownership information will not be publicly displayed by default.

7. Privileged Editions and Registered Provenance

Privileged editions within the Signature Reserve and Founding Patron sequence may include registered provenance features.

These may include:

  • Owner recognition
  • Private access
  • Registered owner email
  • Registered owner information
  • Authorised contact details
  • Institutional information
  • Transfer records
  • Provenance notes
  • Private authentication history
  • Selected custody records

Such features are subject to edition category, privacy preferences, administrative verification, platform availability, and approval by the RIMAU 1925 team.

8. Numbered Collector's Edition

Copies from serial number 1927 to 9999 will form part of the wider Numbered Collector's Edition.

These copies will remain individually numbered, authenticated, and issued with a Certificate of Authenticity.

They will be supported by basic authenticity verification.

They may not carry the same registered provenance features, transfer privileges, recognition options, or private access functions reserved for the Signature Reserve, Founding Patron Edition, and Dedication Copies, unless otherwise made available by the RIMAU 1925 team.

9. Registered Owner Email

Each registered privileged edition must be linked to a registered owner email address.

The registered owner email serves as the primary account identity for ownership access, authentication management, ownership transfer, security verification, and administrative communication.

Where an edition is registered under a company, foundation, university, library, embassy, cultural institution, private archive, family, or organisation, the registered owner email may belong to an authorised contact person appointed by that entity.

The registered owner is responsible for ensuring that the email address remains accurate, accessible, secure, and under the control of the authorised owner or representative.

10. Email Verification and One-Time Passcode

The RIMAU 1925 verification website may use email verification and one-time passcodes as part of its security process.

A one-time passcode may be sent to the registered owner email to confirm access, approve changes, initiate or complete ownership transfer, update owner records, change privacy preferences, or perform other sensitive account actions.

A transfer, ownership update, or sensitive change will not be completed unless the required email verification or one-time passcode process is successfully completed.

The one-time passcode is intended for the registered owner only and must not be shared with unauthorised persons.

11. Collector Access Key

Privileged editions may be linked to a private Collector Access Key or other approved verification method.

The Collector Access Key may allow a registered owner or authorised person to access selected protected information, manage privacy preferences, view ownership details, generate limited-access verification, or initiate an ownership transfer request.

The Collector Access Key works together with the registered owner email and other verification methods. It should not be treated as a complete substitute for ownership confirmation unless expressly allowed by the RIMAU 1925 team.

The Collector Access Key must be kept confidential by the registered owner.

The RIMAU 1925 team is not responsible for unauthorised access caused by the owner's failure to protect login credentials, access keys, one-time passcodes, email accounts, or approved verification details.

12. Privacy and Public Display Preferences

Registered owners may be allowed to choose how their edition is displayed publicly, subject to approval and platform functionality.

Options may include:

  • Individual name
  • Family name
  • Company name
  • Foundation name
  • Institutional name
  • Organisation name
  • Private Collector
  • Anonymous listing
  • State and country only

The RIMAU 1925 team reserves the right to reject, edit, or request changes to any public recognition name that is inaccurate, offensive, misleading, unlawful, defamatory, commercially inappropriate, politically sensitive, or inconsistent with the dignity of the project.

13. Owner Responsibilities

Registered owners are responsible for ensuring that their submitted information is accurate, current, complete, and not misleading.

Owners should promptly update their contact details, registered email address, institutional information, privacy preferences, or ownership records where changes occur.

Owners are also responsible for safeguarding:

  • Their physical edition
  • Certificate of Authenticity
  • Serial number
  • QR code
  • Registered owner email account
  • Collector Access Key
  • Login credentials
  • One-time passcodes
  • Any private authentication or ownership records

If the registered owner loses access to the registered email address, the RIMAU 1925 team may require additional verification before restoring account access, updating the registered email, or approving any ownership-related action.

14. Ownership Registration

Where ownership registration is available, owners may be required to provide:

  • Full name
  • Registered owner email
  • Contact details
  • Country and state
  • Recognition name
  • Edition number
  • Certificate details
  • Proof of purchase or allocation
  • Institutional details, if applicable
  • Authorised contact person, if applicable
  • Privacy preference
  • Supporting documents, where required

Ownership registration will only be recorded once the submitted information has been reviewed and accepted by the RIMAU 1925 team.

15. Ownership Transfer

Ownership transfer for eligible registered editions can be done through the official RIMAU 1925 verification website.

The registered owner must log in using the approved account access method, submit a transfer request, provide the required new owner details, and complete the verification process.

The existing registered owner must verify the transfer using the registered owner email. This may include entering a one-time passcode sent to the registered owner email.

The transfer will only take effect once it has been reviewed, verified, and approved by the RIMAU 1925 team.

Until approval is granted, the existing registered owner remains the recognised owner in the official verification record.

16. Transfer Process

The standard ownership transfer process may include the following steps:

  • The existing registered owner logs in to the official RIMAU 1925 verification website.
  • The owner selects the relevant edition and initiates a transfer request.
  • The owner provides the new owner's required details, including the new owner's email address.
  • The system sends a one-time passcode or confirmation request to the existing registered owner email.
  • The existing registered owner confirms the transfer using the one-time passcode or approved verification method.
  • The RIMAU 1925 team reviews and verifies the transfer request.
  • Once approved, the edition record is transferred to the new owner.
  • The new owner email becomes the registered owner email for that edition.
  • The previous owner's access to the private ownership record will be removed or restricted.
  • The new owner may then register, update account settings, manage privacy preferences, and, where applicable, initiate future transfer requests.

17. Effect of Transfer

Once an ownership transfer is approved, the new owner becomes the registered owner of the edition in the official verification record.

The registered owner email will be updated to the new owner's email address.

The previous owner will no longer be able to access protected ownership information, private provenance records, Collector Access Key functions, transfer features, or owner-management tools for that edition, unless expressly authorised by the new owner or approved by the RIMAU 1925 team.

Any future two-factor authentication, one-time passcode, transfer approval, account recovery, or owner-management process will be linked to the new registered owner email.

18. Transfer Requirements

An ownership transfer request may require:

  • Edition number
  • Certificate details
  • Registered owner login
  • Collector Access Key or approved verification method
  • One-time passcode sent to the existing registered owner email
  • New owner name
  • New owner email address
  • New owner contact details
  • New owner country and state
  • New recognition preference
  • Proof of sale, gift, inheritance, institutional transfer, or authorised reassignment, where applicable
  • Confirmation from both parties, where required
  • Administrative review by the RIMAU 1925 team

The RIMAU 1925 team may request additional documents or verification before approving any transfer.

19. Transfer Approval

The RIMAU 1925 team may approve, reject, delay, suspend, or request further verification for any ownership transfer request.

A transfer may be rejected or delayed where there is:

  • Incomplete information
  • Inaccurate information
  • Unverified registered owner email
  • Failure to complete one-time passcode verification
  • Disputed ownership
  • Suspected fraud
  • Suspicious activity
  • Counterfeit concern
  • Unpaid balance
  • Chargeback or payment dispute
  • Breach of applicable policies
  • Conflicting claims
  • Missing documentation
  • Legal or administrative concern

20. Transfer Records

Approved transfers may be recorded in the official authentication system.

For privileged editions, transfer records may form part of the edition's registered provenance.

The RIMAU 1925 team may retain transfer history for authentication, anti-counterfeit protection, ownership verification, future custody, legal, administrative, and provenance purposes.

21. Email Change Requests

A registered owner may request to change the registered owner email through the official verification website or approved communication channel.

An email change request may require login verification, Collector Access Key confirmation, one-time passcode verification, identity verification, proof of ownership, and administrative approval.

The RIMAU 1925 team may reject, delay, or request further information for any email change request where fraud, unauthorised access, dispute, incomplete verification, or suspicious activity is suspected.

22. Limited-Access Verification

Registered owners of privileged editions may be given the option to generate limited-access verification for resale, institutional display, private authentication, auction review, transfer review, or future custodian confirmation.

Such access may be time-limited, one-time use, or restricted to selected information.

The availability of limited-access verification is subject to platform capability, privacy settings, and approval by the RIMAU 1925 team.

23. Lost Certificate, Damaged Certificate, or Lost Access

If a Certificate of Authenticity is lost, damaged, stolen, or compromised, the registered owner should contact the RIMAU 1925 team.

The RIMAU 1925 team may request identity verification, proof of ownership, edition details, supporting documents, photographs, police report where applicable, or other evidence before updating the verification record or issuing any replacement document.

Replacement certificates are not guaranteed and may be subject to administrative review, security marking, replacement fees, or special notation in the verification record.

If a Collector Access Key, registered email access, or account access is lost, the registered owner may be required to complete a recovery process before access is restored.

24. Counterfeit, Tampering, and Misuse

The following are strictly prohibited:

  • Counterfeiting any edition
  • Duplicating a serial number
  • Forging a Certificate of Authenticity
  • Tampering with QR codes
  • Altering authentication records
  • Misrepresenting ownership
  • Claiming a false edition category
  • Selling unauthorised replicas
  • Using the verification system fraudulently
  • Attempting unauthorised access to owner data
  • Misusing private access information
  • Creating false provenance claims

Any suspected counterfeit, tampering, misuse, or fraudulent activity may result in suspension of verification, refusal of transfer, cancellation of registration, legal action, or referral to relevant authorities.

25. Authentication Status

An edition's authentication status may be shown as:

  • Verified
  • Pending Registration
  • Registered
  • Transfer Pending
  • Transfer Approved
  • Under Review
  • Suspended
  • Reported Lost
  • Reported Stolen
  • Certificate Reissued
  • Authentication Disputed
  • Invalid

Other status labels may be used depending on administrative needs and platform design.

26. No Guarantee of Market Value

Authentication, registration, provenance records, edition category, or ownership transfer approval does not guarantee resale value, market value, auction value, investment value, or future collectability.

The RIMAU 1925 team does not provide valuation, investment advice, resale guarantees, or profit projections.

27. Administrative Fees

Certain services may be subject to administrative fees, including:

  • Ownership transfer
  • Certificate replacement
  • Record amendment
  • Special verification request
  • Institutional custody update
  • Limited-access verification
  • Recovery of lost access
  • International administrative processing

Any applicable fees will be communicated before processing where possible.

28. System Availability

The official verification website and related features may be subject to maintenance, updates, technical limitations, security upgrades, hosting issues, third-party service dependency, or other operational factors.

The RIMAU 1925 team will take reasonable steps to maintain the verification system but does not guarantee uninterrupted or error-free access at all times.

29. Privacy and Data Protection

Personal data collected for authentication, ownership registration, Collector Access Key access, email verification, one-time passcode verification, and transfer purposes will be handled in accordance with the Privacy Policy.

Sensitive ownership details will not be publicly displayed by default.

Public display of recognition names, state, country, institution, or other selected details will be subject to owner consent, privacy preferences, administrative approval, and platform functionality.

30. Policy Updates

This Policy may be updated from time to time to reflect changes in authentication processes, ownership transfer procedures, verification technology, privacy requirements, security practices, edition categories, or administrative needs.

The latest version will be published on the official website with the updated date.

Continued use of the verification website, registration system, or ownership transfer process after updates are published constitutes acknowledgement of the updated Policy.
